№ 03 — ACCOUNTANCY & TAX

Every client, every deadline — on one screen, built to submit to HMRC.

A practice doesn't run on a ledger. It runs on deadlines — VAT, PAYE, CT and SA, across dozens of clients, none of which forgive a late filing. Navigare Accounting puts MTD-VAT, MTD Income Tax (ITSA), bank reconciliation, Companies House and CT600 iXBRL, payroll RTI and account schedules in one UK-focused system, so the work and the submission live in the same place and the deadline board is always honest. The submission engine is built to run against HMRC's test environment and switch to live when your practice is ready (HMRC recognition in progress).

Timely MTD for Income Tax is mandatory from April 2026 for sole traders and landlords with income over £50,000 — and over £30,000 from April 2027. Navigare is built for quarterly ITSA updates and the final declaration now, so your clients are ready before the deadline, not scrambling after it.

THE PROBLEM

The filing is done. Did it actually submit?

Most small practices run a bookkeeping package, a separate tax filer, a payroll tool, a spreadsheet of deadlines and a portal for chasing client records. Every seam between them is a re-key, a missed deadline, or a submission you hope went through.

i

Deadlines hide in five places

VAT here, payroll there, CT and SA somewhere else. Without one deadline board across every client, the only thing that catches a missed filing is a penalty notice.

ii

MTD made it stricter, not simpler

Digital links, no copy-paste between systems, ITSA on the horizon. A toolchain held together by exported spreadsheets is exactly what Making Tax Digital was designed to outlaw.

iii

Bank reconciliation eats juniors alive

Hours of matching feeds to ledgers, every client, every month. Without smart rules and a bank feed, it's the single biggest sink of unbillable time in the practice.

iv

Year-end is a manual relay

Accounts in one tool, iXBRL tagging in another, CT600 in a third, Companies House filing by hand. Each handover is a re-key and a chance to tag the wrong figure.

v

Payroll RTI never sleeps

Every pay run is an FPS to HMRC on time, every month. A separate payroll tool that doesn't talk to the ledger means double entry and reconciliation drift.

vi

Per-seat fees punish growth

Sage, IRIS and the AML add-on scale with headcount and client count. Win more work and your software bill rises faster than your fees.

HOW NAVIGARE SOLVES IT

The whole compliance cycle, one system.

MTD-VAT submission, smart bank reconciliation, iXBRL year-end accounts with CT600 and Companies House filing, payroll RTI and account schedules — all in one UK-focused platform, on a flat practice price rather than a per-seat tariff.

The principle: the data is entered once and flows all the way through. A reconciled transaction becomes a VAT figure, a year-end balance, an iXBRL-tagged account and a CT600 line without a single re-key — and the platform is built to submit to HMRC and Companies House from the same system, with the receipt logged against the client (HMRC recognition in progress).

SEE IT WORK

One ledger, filed at both ends.

The figure your client's bank produces is the figure that reconciles, becomes a VAT box, rolls into the year-end accounts and lands on the CT600 — and the same engine is built to submit it to HMRC and Companies House. Here is exactly how a transaction travels through Navigare Accounting, from a bank feed to a submission receipt logged against the client.

01 · The board

Every client, every obligation, one deadline board.

VAT, PAYE, Corporation Tax, Self Assessment and Companies House dates for every client roll up into a single colour-coded board. Obligations are pulled straight from HMRC, so the dates are the real dates — not a spreadsheet someone forgot to update.

  • HMRC-published VAT, CT and ITSA obligation periods, synced daily
  • Colour-coded by urgency — green clear, amber due, red overdue
  • One board across the whole client portfolio, not five tools
Navigare deadline board VAT PAYE CT ITSA SA CH

One board, every obligation — each orbiting node is a filing type tracked for every client.

02 · The feed

The bank feed that reconciles itself.

Open Banking and Revolut Business feeds land transactions automatically. Confidence-scored rules match them to the ledger — by amount, partner and date — and learn each client's recurring patterns, so bulk reconciliation turns a day a week into an hour.

  • Open Banking GB feeds (TrueLayer / Yapily) and Revolut Business
  • Confidence-scored matching: amount, partner, date weighted
  • Bulk-apply every match above the confidence you choose
  • An append-only audit log of every auto-match, for review
Bank feed Ledger −£480.00RENT DD +£1,200.00SO INV-204 −£96.40FUEL Rent expense98% match Invoice 20495% match Motor expense88% match

Each feed line is scored and matched to a ledger entry — you confirm the batch, you do not key it.

03 · The return

The VAT return that builds as you work.

Reconciled transactions roll straight into the nine VAT boxes in real time. Preview the return, check the obligation against HMRC, and submit under Making Tax Digital with digital links end-to-end — no copy-paste, no spreadsheet bridge. The submitted envelope is locked and the receipt stored.

  • Live 9-box VAT engine fed from the reconciled ledger
  • MTD VAT submission with HMRC fraud-prevention headers
  • Obligations and payment status pulled per client from HMRC
  • Submitted return locked immutable, receipt logged on the client

04 · The journey

From bank line to filing receipt, one rail.

Every step reads from the same ledger, so the figure never changes hands or gets re-keyed. Watch a transaction travel from the bank feed all the way to a logged HMRC receipt.

🏦Bank feed Reconcile 📊VAT · accounts 📤Submit 🧾Receipt

VAT, CT600, ITSA and Companies House all run this same rail — entered once, filed from the same ledger.

05 · The year-end

Statutory accounts and the CT600 from one ledger.

At year-end the same ledger generates iXBRL-tagged FRS 102 or FRS 105 statutory accounts and a full CT600 computation — marginal relief and R&D splits included — and is built to submit both to HMRC and the accounts to Companies House. No relay between three tools, no re-keyed figure.

  • iXBRL statutory accounts tagged to FRS 102 / FRS 105
  • CT600 computation with marginal relief and R&D splits
  • Companies House confirmation statement and accounts filing
  • Every submission immutable, with the receipt on the client record
The ledger one trial balance iXBRL accountsFRS 102 / 105 CT600marginal relief → Companies House → HMRC

One trial balance becomes the iXBRL accounts and the CT600 — built to submit to Companies House and HMRC from the same place.

06 · The portfolio

The whole client list, one practice login.

Every client company is a record in the same practice — its own ledger, deadlines, documents and AML file — yet you work the whole portfolio from one dashboard. Onboard a new client with KYC and an engagement letter, and they appear on the board the same day.

Onboard · AMLKYC · engagement Bookkeepingfeeds · rec VAT · ITSAMTD periods Payroll · RTIFPS · EPS Year-endaccounts · CT600 Filed · loggedreceipt on record

The full client lifecycle — onboard to filed — runs in one practice, on one flat price, however many clients you carry.

This is the practice cockpit. Every annotation is a missed filing avoided, a penalty dodged, or an hour of reconciliation handed back to you.

Mockup · Deadline board

Every client, every obligation, one red-amber-green wall.

  • The one overdue filing is impossible to miss. Marsh & Pike's VAT pulses red the moment it slips — late-filing penalties start at £200 and compound, so one glance protects both the client and your PII record.
  • Four tax regimes, one wall. VAT, PAYE, CT and SA for every client side by side — no spreadsheet to maintain, no obligation that quietly falls between two team members.
  • "n/a" is a deliberate state, not a gap. The board knows a sole trader isn't VAT-registered, so amber means action — your eye only ever lands where work is genuinely due.

  • Submit straight to HMRC, the MTD-approved way. One button files through the API and stores the receipt and correlation ID — your digital-link audit trail is complete the moment you click.
  • Sandbox first, so the live filing never surprises you. Rehearse the exact submission against HMRC's test environment, then flip to live with total confidence.
WHO IT'S FOR — THREE WAYS

One system, read three different ways.

The same ledger serves the people who do the work, the people who watch the numbers, and the people whose business it is. Here is what each gets.

For accountants & bookkeepers

The whole portfolio, worked from one board.

Practice staff live in deadlines and reconciliations. Navigare puts the entire client list, every obligation and every chase in one place — so the unbillable hours shrink and nothing slips through a seam between tools.

  • Multi-client practice dashboard — every client company in one login, each with its own ledger, deadlines and AML file.
  • Colour-coded deadline tracking — VAT, PAYE, CT and SA per client, with obligation dates pulled straight from HMRC.
  • Client document-request portal — request records, clients upload, you tick them off; no more email tennis at year-end.
  • Self-reconciling bank feeds — Open Banking and Revolut feeds matched by confidence-scored rules that learn each client's patterns.
  • Account & lead schedules with drill-down — working papers behind every balance, one click from schedule to transaction.
  • AML / KYC onboarding — ID, address, source-of-funds, PEP and sanctions checks logged with a full audit trail.
  • Engagement letters & recurring fees — fee proposals, engagement scope and automatic recurring billing per client.
  • Time recording — billable and non-billable capture per client, with realisation reporting on the work you do.
  • For finance directors & CFOs

The numbers, before the month-end pack.

An in-house finance lead needs the management view live, not three weeks late. Navigare gives real-time figures off the same ledger that files the returns — with the controls and audit trail to back them up.

  • Real-time management figures — P&L, balance sheet and cash flow built from the live ledger, not a month-old export.
  • Account schedules & BI — a NAV-equivalent report builder with rolling 12-month, budget-vs-actual and profitability layouts.
  • Cashflow & bank visibility — every account and pocket reconciled from Open Banking and Revolut, so the cash position is current.
  • Live CT & VAT position — the corporation-tax computation and VAT liability accrue as you trade, not at year-end.
  • Audit trail & controls — every regulatory-critical entry attributed, timestamped and immutable; access by role.
  • Multi-entity & multi-currency — group companies on one platform, with per-column report currency and rate basis in schedules.
  • For business owners

    Compliance handled, in plain English.

Owners want to know one thing: is everything filed, on time, and what does it mean for me. Navigare is built to support the obligations and tells you where you stand without the jargon.

  • Built for MTD, VAT and ITSA — Making Tax Digital for VAT today and Income Tax (ITSA) ready for the April 2026 mandation.
  • Built for Companies House & CT600 — confirmation statements, statutory accounts and corporation tax prepared and submitted from the platform.
  • Payroll & auto-enrolment — staff paid, RTI sent to HMRC each run, pensions enrolled, statutory pay calculated.
  • Deadlines never missed — your accountant works a board that flags every obligation before it falls due.
  • Plain-English dashboards — what you owe, what you're owed and how the business is doing, without the ledger jargon.
  • A secure portal — upload records, sign engagement letters and read your figures, all on UK-hosted infrastructure.
  • COMPLIANCE BUILT IN

Every UK filing, in the same system.

Not a bookkeeping tool that hands off to a filer. Submission to HMRC and Companies House is part of the platform — built to run in HMRC's test environment and switch to live when your practice is ready.

    MTD VAT
    • A live 9-box VAT engine and Making Tax Digital submission with HMRC fraud-prevention headers; obligations and the submitted return locked and logged.
    MTD ITSA — April 2026
    • Quarterly income and expense updates and the year-end final declaration for sole traders and landlords, built for the April 2026 mandation.
    CT600 + iXBRL
    • A full CT600 computation with marginal relief and R&D splits, plus iXBRL statutory accounts tagged to FRS 102 or FRS 105 from the ledger.
    Companies House
    • Confirmation statement (CS01), officer and PSC filings and accounts submission over the Companies House gateway, with receipts on record.
    RTI payroll
    • PAYE and Class 1 NIC, FPS and EPS to HMRC each run, auto-enrolment pensions and statutory pay — journals posted to the ledger.
    AML / KYC
    • An AML workflow with ID, address, source-of-funds, PEP and sanctions-screening tools, an annual review and a full audit trail on every client onboarding.
    WHO IT'S FOR

For the practice that files for a living.

    Accountancy & tax practices

Up to a hundred client companies, a handful of staff. The full deadline-to-filing cycle on a flat price, not a per-seat licence that punishes growth.

    Bookkeeping firms

Reconciliation at volume, VAT submission and clean handover to year-end. Works alongside FreeAgent, Xero and QuickBooks where clients already use them.

    Sole practitioners

One person, the whole UK compliance burden. The suite does the heavy lifting so you can take on more clients without taking on more software.

    Firms leaving Sage or IRIS

Tired of per-seat creep and a tool for every task? We migrate clients, ledgers and history, and run in parallel until you've signed off a full cycle.

"Bank rec used to be a day a week. Now it's an hour."

"We were paying for Sage, a separate tax filer and an AML add-on, and still re-keying figures at year-end. On Navigare the bank feeds reconcile themselves, the VAT return builds itself ready to submit to HMRC, and the iXBRL accounts and CT600 come out of the same ledger. The deadline board alone stopped two near-misses in the first quarter."

    FREQUENTLY ASKED

    The questions practices actually ask.

Who has to file MTD for Income Tax, and when?
From April 2026, Making Tax Digital for Income Tax (ITSA) is mandatory for sole traders and landlords with qualifying income over £50,000; the threshold drops to £30,000 from April 2027. Those in scope must keep digital records and send HMRC a quarterly update plus a year-end final declaration. Navigare is built for the quarterly updates and the final declaration now, so affected clients can sign up and start early rather than scrambling in spring 2026.
We're on Xero, QuickBooks or Sage — can we switch?
Yes. We migrate clients, ledgers and history, and run Navigare in parallel with your existing tool until you've signed off a full reporting cycle, so you never file blind. For bookkeeping firms whose clients stay on FreeAgent, Xero or QuickBooks, Navigare works alongside them for VAT submission and a clean year-end handover — you do not have to move every client at once.
Where is our data held, and is it secure?
Every plan runs on UK-hosted infrastructure with UK data residency, with hourly off-site backups included. Access is controlled by role, regulatory-critical entries carry an immutable audit trail, and bank connections use Open Banking — your client authorises their bank directly and we never see their banking credentials. Full account numbers are never stored; only a sort code and the last four digits.
Does Navigare actually submit to HMRC, or just prepare the figures?
It is built to submit, not just prepare. MTD VAT, ITSA, the CT600 and iXBRL accounts, RTI payroll and Companies House filings are all built to be sent from the platform, with the receipt logged against the client record. The submission engine is built to run against HMRC's test environment and switch to live filing — HMRC recognition is in progress, you confirm credentials and environment per client, and a submitted return is locked immutable.
What does it cost, and is it per-seat?
It is not per-seat. Accountancy & Tax is £179/month, all-in — software, hosting, hourly off-site backups and support — covering up to 100 client companies and five staff, with the full compliance suite included. Win more work without your software bill rising faster than your fees. There is a 14-day free trial, no card required.
